7 Questions to Ask Before Choosing a 3PL Provider

Choosing a third-party logistics provider is one of the most consequential operational decisions an e-commerce business can make. The right partner becomes an extension of your brand — handling your products with care and delivering your customers’ orders reliably. The wrong partner can damage your reputation, disrupt your supply chain, and cost you more than you save. Before you sign anything, ask these seven questions to separate the providers worth working with from those that aren’t.

Some 3PL providers require you to commit to minimum monthly volumes or multi-year contracts. If your business is seasonal or still growing, these commitments can lock you into fees you can’t sustain. Always clarify what happens if your volume falls below minimums — the penalties can be significant.

At DWS: No lock-in contracts. We grow with you at your pace, with no minimum volume penalties.

3PL pricing can be deceptively complex. Base rates for storage and pick-and-pack are just the starting point. Ask about receiving fees (per carton or pallet), returns processing fees, special handling charges, account management fees, fuel levies, and charges for packaging materials. A low headline rate can quickly balloon with add-on fees that weren’t mentioned upfront.

At DWS: We provide transparent, itemised quotes. No hidden fees or surprise charges on your monthly invoice.

Your 3PL needs to connect seamlessly with your online store and your preferred carriers. Ask for a confirmed list of integrations such as Shopify, WooCommerce, Amazon, Magento, and others and verify that order syncing is real-time, not batched. Carrier integrations matter too: access to multiple carriers gives you flexibility on delivery speed and cost.

At DWS: We integrate with major Australian e-commerce platforms and maintain relationships with leading domestic and international carriers.

A professional 3PL should be able to provide documented accuracy metrics. Best-in-class operations achieve 99.5% or higher order accuracy through barcode scanning and double-verification processes. Ask to see their measurement methodology , a provider that can’t answer this question with data is one to be wary of.

At DWS: We use barcode scanning at every pick-and-pack stage and track accuracy metrics on an ongoing basis for continuous improvement.

Returns are inevitable in e-commerce, especially post-peak season. Ask how the 3PL processes returned items: are they inspected, repackaged, and returned to stock? What’s the turnaround time? Are there separate fees for returns processing? A provider that doesn’t have a clear returns process can leave you with a growing pile of un-processed stock.

At DWS: We offer returns processing with inspection and restocking services. Clear process, transparent fees, fast turnaround.

Understand what insurance coverage the 3PL holds for goods in their care, and what their liability limits are. Ask about their fire safety systems, security protocols, and what compensation process exists in the event of loss or damage. Some providers carry very limited liability, it’s critical to understand this before handing over your inventory.

At DWS: Our facility operates with comprehensive insurance, modern fire suppression systems, and 24/7 security monitoring. We’re transparent about our liability arrangements.

A 3PL that works well at your normal volume may struggle to maintain service levels when your orders triple in November. Ask specifically about their peak season staffing strategy, capacity limits, and how they communicate when volumes are pushing against capacity. Get commitments in writing if peak performance is critical to your business model.

At DWS: We plan for peak season with our clients months in advance. We scale staffing and space proactively, not reactively.

Businesses that ask detailed questions during 3PL evaluation report significantly higher satisfaction in the first 12 months of the partnership — and are far less likely to need to switch providers within two years.

The right 3PL isn’t just a vendor — it’s a strategic partner. The questions above will help you separate providers who truly invest in your success from those who treat you as just another account. Take the time to get clear answers, and make the decision that will protect your customers and your brand.
